Terms and Conditions

Section 1 - General Terms and Conditions

Before confirming your Wigwam or camping booking at Hill Farm & Orchard, please take the time to read the information below. It includes vital information regarding cancellation policies the amenities and services available at the site, which will assist you with planning your holiday. Please do not hesitate to contact us by telephone or email with any queries or any further information you may need to make your holiday extra special.

Payment Policy 
To secure your booking, payment in full is required at the time of booking. We do not accept provisional bookings so please do not make a booking unless you are in the position to honour it. Please contact us with any queries or if you prefer to make a telephone booking.

Cancellation/No-Show Policy
In the event of cancellations or no-shows, we do not offer any (either full or partial) refund. However, if more than 48 hours notice is given, we may, at our discretion, offer an alternative date suitable to you only if we have the availability to do so.

Travel Insurance
We strongly advise you to take out the appropriate levels of travel insurance so you can have peace of mind that your costs will be covered, should you need to cancel your holiday for any reason.

Farm Safety
No one is permitted to visit the farm without prior permission. Please do not allow children to play on farm machinery. Gates should be left as found and the country code adhered to. Maximum speed limit of 5mph on-site must be adhered to at all times.

Smoking
Smoking (including e-cigarette devices) is not permitted in the Wigwam® Cabins or in any communal areas.  Please ensure cigarette butts are disposed of safely in bins provided and not littered.  

Dogs
Well behaved dogs are allowed on our site but must be kept on leads and owners must be responsible for them at all times. Please remember Hill Farm & Orchard is a working farm with sheep and cattle grazing in close proximity to the Wigwam® Cabins and the campsite. Any damage caused by your dog will be chargeable. Owners are responsible for cleaning up after own dogs.  Never leave your dog unattended. Failure to comply with these rules will result in you being asked to leave the site and no refunds will be given.

Maximum of 1 well behaved dog per wigwam and 2 well behaved dogs per tent pitch.  

Noise
Music is not permitted.  Please be considerate of other guests. Keep noise to a minimum after 10pm. If you do not adhere to this or any warnings, police will be called.  

You must not use a drone, powered model aircraft or any other flying object.  You must not use Chinese lanterns, fireworks or similar.  You may not ride bicycles, scooters (or similar) so as to cause a nuisance or undue noise.  

Farm Safety

Sub-letting
You are not allowed to sublet the holiday accommodation or any part thereof during your period of stay. If we discover that a Wigwam or camping pitch has been sublet the party will be asked to leave site and the main booker will remain liable for the full cost of the booking.

Complaints Procedure
We take all comments from guests seriously. In the unlikely event that you wish to make a complaint, you can contact us by telephone or email and we will respond. We will try to resolve any issues as soon as possible.

Code of Conduct
We expect all our visitors to respect and look after the site, communal buildings and, if applicable, the Wigwam® you are staying in. We also require you to respect your fellow visitors and keep noise levels to a minimum after 10pm. Parents are responsible for their children, as such children must be supervised at all times.

Property/ land / contents
Please ensure that you take all reasonable care in the use of Hill Farm & Orchard property and contents, including the security of the property. Report any damages as they occur. We reserve the right to charge for all and any repairs, losses or replacements necessitated by the negligent act or omission of any of your party, guests or invitees. If necessary, this may include an administration charge.

Loss, damage, injury or fire
Hill Farm & Orchard take no responsibility for loss, damage or injury to you or any of your party, vehicles or property by fire, accident, theft or weather as a consequence of this agreement or the occupancy following on thereon. We recommend you have adequate travel, vehicle and property insurance.  


Section 2 - Additional Terms and Conditions for Wigwam guests

Arrival/Departure Procedures

Check-in for Wigwams
You can check in from 4pm onwards. Late night arrivals should telephone in advance to arrange. 

Departure for Wigwams
Please check out by 10am. Whilst we clean all Wigwam® Cabins and amenity areas we do ask that you leave the Wigwam® Cabins tidy. No food should be left in the fridges. All dishes should be washed and dried and put away in the kitchen area.

Group Bookings
Please contact us directly to organise parties or corporate events.

Hot Tubs
If staying in a Wigwam with a hot tub, please make sure you have read the instructions located in the wigwam and near the hot tub.  Please note that these are for the wigwam guests only and you are responsible for any damages caused when using the hot tub. Please note we cannot guarantee that the hot tub will be up to temperature at your time of arrival.

Waste disposal and recycling
Please keep Wigwam® Cabins tidy inside and outside. On departing the Wigwam®, areas should be in a tidy, litter free condition. Take/clear your waste to the bins/recycling points provided. Where no designated bin is provided for an item/object, please take item home for disposal. We reserve the right to apply an extra charge for unauthorised litter disposal or unsatisfactory conditions.

Barbeques
Unfortunately, guests are not permitted to bring own barbeques to the Wigwams.  Firepits along with firewood, coal, fire starter pack, set of 3 cooking utensils and fire-resistant glove are available to hire for £20.00 for the duration of your stay.  Additional firewood and coal is available upon request and an additional charge of £10.  

Do not dispose of ash or embers in hedgerows or waste bins.  A designated ash bin is provided. 

Section 3 - Additional Terms and Conditions for Campsite Guests

Campsite is available from Wednesday 14th July to Monday 30th August 2021, inclusive.

You will be allocated a specific pitch number at the time of booking. Full check in instructions will be sent with booking confirmation email.  It is your responsibility to ensure that you set up your camp on your allocated pitch number and in accordance with management instruction.  If we subsequently discover that you have set up camp on the wrong pitch, you may be asked to move pitch and we reserve our right to insist that you do so. 

As already stated in Section 1 - Tents, cars and all belongings are on site at the owner’s own risk and Hill Farm and Orchard accept no liability for damage, fire, or theft.

The site is for private tents for holiday use only, and these must be of an approved design.

Check-in for Campsite
You can check in between the hours of 2pm and 6pm.  If arriving after 6pm please let us know prior to check in day.

Departure for Campsite
Please check out by 11am.  We kindly ask for guests to check the pitch before they leave to ensure all pegs and litter have been picked up and general waste has been disposed of in the bins provided.

Pitch information
Each pitch size is 10m x 10m and is limited to 1 tent per pitch.  Tents now come in all shapes and sizes, so we would appreciate it if you could let us know the size of your tent when booking.

Windbreaks may be permitted at management discretion, dependant on space between units, at no extra charge

Gazebos are permitted at a cost of £2.00 per pitch per day and are to be booked prior to arrival.  A maximum of one gazebo per pitch.

Duration
Minimum of 2-night stay with 3 nights over the August bank holiday (Friday 27th to Monday 30th August 2021).    

Respecting fellow campers
Please respect the privacy of others and keep noise to a minimum, with absolute quiet between 10pm and 7am.  

Do not cut across other pitches or let your children play around other tents which do not belong to you or their friends.

Site Access 
There is a no vehicle movement policy between 10pm and 7am.  The gate will be locked during these times.  You will receive the access code of the gate with check in instructions.  If you need to access the site during these times, please close and re-lock the gate.  To reduce disruption to fellow campers, please park in the designated car park area and move your car to your own pitch after 7am.  

Vehicles

Maximum speed limit is 5mph throughout the campsite.

Commercial or sign-written vehicles are not permitted on the site (unless by prior arrangement) as well as caravans, motorhomes, tent trailers, trailers, caravans or RVS longer than 8 metres.  

Quad bikes, trials bikes and powered scooters are not permitted.  
We permit cars with the purpose of access only.  Accordingly, save to the extend that you may need to do so because of a disability, you must not drive cars around the site for other purposes such as visiting other locations (shower block for example).  We may ask for reasonable evidence of any disability relevant to this rule.  

You must insure all vehicles for use on the public road.  Motor vehicle repairs must not be carries out however, a recognised breakdown service may attend in the event of a breakdown.  

One additional car per pitch can be booked for £2 per night and can be parked in the designated area car park.  

Weather
UK weather can be unpredictable and whilst we supply certain facilities, it is still camping and you are responsible for your own well-being and comfort regarding bringing the appropriate clothing, footwear and camping equipment.

Deferring your booking 
Management is prepared to consider re-allocation of pitches within any given booking period, subject to availability. Pitches may not be swapped without agreement from management. 
 
Groups 
Groups for camping are limited to two pitches (1 tent per pitch) when booking online.  Groups of three or more pitches may be considered at management discretion.  If large groups are identified regardless of whether the pitches are adjacent or separate their bookings will be cancelled without a refund and asked to leave the campsite immediately.  

Supervision of Minors & Children: Persons under the age of 21 must be accompanied by an adult to stay at our site. Children must be under the supervision of their parents/guardians on all areas of the campsite at all times.

Barbecues
Barbecues and disposables may be used but only if they are raised above ground to ensure that the grass is not burnt as it used for grazing. Bricks are available to use for raising barbecues, and we kindly ask to return them when not in use for fellow campers to use.

All fires must be extinguished by 11pm. Only certified firewood, charcoal or briquettes may be used on site.  Do not dispose of ash or embers in hedgerows or waste bins.  A designated ash bin is provided.  Campfires are forbidden on site.  

Waste Disposal and recycling
All general waste and recycling must be disposed of sensibly in the bins provided.   Do not dispose of ash or embers in these bins, please dispose in designated bin.  Please note there is no facility for chemical toilet waste disposal.  

We kindly ask our guests not to dispose of any camping equipment (chairs, tents, mattresses, gazebos etc.) in any of the bins on site. All camping equipment must be taken home with you.

Failure to comply with the above terms and conditions may result in you being asked to leave the campsite at any time without refund.

When making a booking you agree that:
You or at least one member of your party is 21 years or over.
You have the authority of all persons in your party to book on their behalf.
You (and all of your party) accept the above Terms & Conditions
You (and all of your party) agree to be responsible for any loss or damage caused by any member of your party or animal accompanying you.
